Patient Appointment Screen


When you select a Patient's Appointment on the Calendar, it opens the Patient's Appointment screen which displays:

  1. Banner
  • Patient's name
  • DOB/Age
  • Appointment Type
  1. Additional Patient Information
  • Phone Numbers
  • Address
  • Patient's Insurance
  1. Appointment Information
  • Appointment Date and Time
  • Resource
  • Facility
  • Instructions and Reason Notes
  • Previous/Next Appointments
  1. Scan: You can Scan a picture of the Patient from the ID or Driver's License.
  • Direct Scan with iDology Scanning (premium add-on feature)
  1. The Patient's photo will display after scanning.

Action Buttons on the Patient Appointment Screen

  1. Status: Appointment Status dropdown menu
  2. Check-in: Changes to Check-out after Check-In is selected.
  3. Cancel
  4. Reschedule
  5. Delete: Delete can be used if the Appointment was made in error. Otherwise, use the Cancel button.

  1. Eligibility
  • Hover over the button to view the latest Eligibility Results.
  • Select the button to see more detail on the latest Eligibility Results.
  • Use the Verify link to perform an Eligibility check.

  1. New Appt: A new Appointment can be made from this Appointment.
  2. Send to a Worklist
  3. Patient Estimate (Premium add-on feature)


Navigation Links

When a link is selected, a new tab or a pop-up window opens. Once you are finished, close the new tab or pop-up to return to the Patient's Appointment screen.


Modify Appointment

  • Modify an existing Appointment. 

Print Superbill

  • Prints an individual Superbill (Fee Ticket) for the patient.

Print Schedule

  • Prints a list of future appointments that the patient has scheduled.
  • This list can be printed for the Patient.

Print Form

  • Prints an individual form for this patient only.

Patient Dashboard

  • Navigates to the Patient Dashboard.

Modify Demographics

  • Opens the Modify Patient screen to make changes to the Patient's Demographics.

Insurance Management

  • Opens the Insurance Management screen to make changes to the Patient's Insurance.
  • Only the Default Insurance displays on the Appointment screen.
  • If the Insurance has been added with the status of Active, it can be changed using the Insurance Management link (Change from Active to Default).
  • Hovering over the Insurance name will show details about the Insurance.
  • Display of the Payer ID in the hover-over can be instrumental in selecting the correct insurance when compared to the Payer ID on the Patient's Insurance Card.

Recalls

  • Opens the Recalls screen where you can Add a Patient to a Recall list.

Enter Copay

  • Enter the Patient's payment. This can be a combination of a copay and a payment on account.
  • If the Patient is using two different forms of Payment, such as credit card and check, make two receipts.

Enter Charge

  • Charges can be entered manually.

Service History

  • The Service History shows the History of all the Patient's Encounters.
  • These are Appointments where Charges have been entered for the Patient which creates an Encounter.
  • If a Patient misses an Appointment, there will not be an entry on the Service History.
  • The Service History can also be seen on the Patient Dashboard.

Eligibility

  • Shows Eligibility history with the status of the Eligibility check.
  • This link does not check Eligibility.


Balance Information

  • Option to select Patient or Guarantor Balance.
  • Pat Bal: Patient Balance
  • Escrow: Payment Receipts that have not been posted to an Encounter.
  • Col Bal: Collection Balance (Encounter Balances that have been sent to Collections)
  • Ins Bal: Insurance Balance
  • Last Payment: Last date that a Payment was made.
  • Amount: Last Payment Amount.
  • Dunning: The Dunning count increases each time a Patient Payment is missed.

Appointment Scheduling Information

  • Scheduled By: Shows who and when the Appointment was scheduled.
  • Last Modified By: Shows who and when the Appointment was last modified.
  • Referring: Shows who sent the Patient.
  • Referral Reason: Shows why the Patient was sent.
  • Case: Shows if there is a Case attached to the Appointment.
  • Authorization: Shows Insurance information for the Appointment.
  • Note: Shows the Notes from the Appointment.
  • Reminder: Shows the Reminder for the Appointment.
  • Recurrence: Shows if the Appointment is Recurring.
  • Wait List: Shows if the Appointment is on the Wait List.
  • Appointment ID: Shows the number associated with the Appointment.
  • How Did You Hear About Us: This is a Custom Field that was added to the Patient Registration screen.
