Global Patient Search

Global Patient Search

Billing services often have multiple Databases where the same Patients are seen, or when patients call, they do not know the Practice or Provider name. To make the search more efficient, the Global Search checkbox can be used to search for Patients/Guarantors across all Databases where the User has access. The table will display additional columns, and a Database Search field becomes available.


  1. Select the Global Search checkbox.
  2. Select the Databases to search. If left blank, all Databases where you have access will be searched.
  3. Enter applicable Filter Criteria, such as, part of the last name, part of the first name, DOB, etc.
  • At least one filter must be chosen to retrieve results.
  1. Select Search.
  2. The results for the Current Database will be listed first, and then the Other Database results.
  • Current Database and Other Database are designated on the list.
  1. Select the Patient ID link to open a separate tab displaying the Patient Dashboard in the database where that Patient is located.
  2. Select the Database ID link to open a separate tab displaying the Home Dashboard in the database where the Patient is located.
  • Hover over the Database ID to show the name of the Database.
  1. Hover over the Insurance to show additional Payer information.
  2. Select the Import link to add the Patient to the Current Database. The Import link will only display when the Patient is in another database.


Import a Patient from a Different Database

Select the Import link after performing a Global Search to import a Patient from a different Database.

  • Demographics: The Demographics are displayed in the Info panel above the Import Criteria. 
  • Patient Demographics are mandatory as part of the Patient Import and should be reviewed for accuracy before continuing.
  • GuarantorsA new Person record will be created for each Guarantor.
  • Insurance Profiles: Imports the active Insurance Profiles and Insurance Cards.
  • Insurance Cards are automatically linked to the correct Insurance Policy.
  • The option to import Submission Names becomes available when Insurance Profiles is selected.
  • Inactive Insurance Profiles will not be imported.
  • Contacts: A new Person record will be created for each Contact.
  • Documents: Imports any scanned or uploaded Document excluding Insurance Cards.
  • Insurance Cards will only be imported if the Insurance Profiles checkbox is selected.
  • Notes: Imports all Note types that are available on the Patient Dashboard.
