Encounter Dashboard Notes Overview

Notes Overview

Users can manually add Notes on the Encounter Dashboard.

  1. Some Notes that are added in other areas in the System can also be seen here.
  2. The System also creates Notes when certain actions are performed.

Add a Note

Add a Pop-Up and/or Header Note

From the Encounter Dashboard Notes panel:

  1. Select the Add link or the Notes link > Add button.
                           
  1. In the Note Info panel, select or create a Category.
  • Select an existing Category from the dropdown.
  • Or, select Manage to add a Custom Category.
  1. Enter the Note Text
  • Enter a clear, concise description of the Note.

  1. Set Alert Options
  • Type of Alert
    • Pop-Up: Displays a pop-up when the Patient is opened.
    • Header: Shows an Alert banner at the top of the Dashboard or Screen.
    • Both: Use both options.
  1. Specify Effective and Expiration Dates (optional).
  • If the Note should only apply to a certain time frame, add Effective and/or Expiration Dates.
  1. Select locations where you want the Alert to display.
  • Use the Check/Uncheck link to check all or uncheck all locations.
    • Select once to check all the boxes.
    • Select twice to clear all the boxes.
  • Individually select the boxes for where you want the Note to appear, such as Encounters, Patient Dashboard, Encounter Dashboard, etc.

  1. Select Applicable Encounters (optional)
  • The Encounter that you are on will default as checked.
  • Other Encounters can be added to display this Note,
  • If specific Encounters are selected here, Encounters must be checked in the Alert Options panel.
    • Otherwise, the Note will not display on any Encounters.
  • If the Encounters checkbox is selected in the Alert Options panel, but specific Encounters are not selected in the Apply Note to Encounters panel, the Note will display on all Encounters.
  1. Select Save [F2].


           

Manage Note Alerts: Snooze, Remove, Archive

Snooze a Note Pop-up Alert

Temporarily hide a Pop-Up Alert

  1. When the Pop-up appears, select Snooze.
          1. More than one Alert can be snoozed.
  2. Select a Snooze duration. (The Alert will reappear after the selected time.)
  • System Delivered Times:
  • 5 Min (Default)
  • 10 Min
  • 15 Min
  • Use the System Setting to add a Custom Time.
  1. Select Save [F2].

Remove a Note Alert

Stop the Alert from triggering without deleting the Note from the Notes panel.

On the Note Alert Pop-Up:

  1. Select Remove Alert.
  2. If other Note Alerts exist, they will be snoozed for the default time unless changed.
  3. Select Save [F2].

Archive or Unarchive a Note

Clean up your notes by Archiving older Notes.

  • Use Archive instead of deleting Notes to maintain a historical record of important Patient information.
  • The Note will no longer show in the active Notes Panel.
  • It can still be viewed by selecting the Notes link, where the list can be filtered to include or see only the Archived Notes.


Archive a Note Using the Alert Pop-up or Alert Header

  1. On the Pop-up, select Archive Note.
  2. Select Save [F2].

Archive a Note Using the Modify Note Icon

  1. Use the Modify icon to open the Note.

  1. Select the checkbox for Archive.

  2. Select Save [F2].

Archive a Note using the Active Note List

  1. In the Notes panel, select the Archive link.

  1. On the Pop-up, select Yes for "You requested to Archive this note. Would you like to continue?

Find and Unarchive a Note

  1. Select the Notes link in the Notes panel.

  1. If the Filters are not displayed, select the Show link.

  2. Filter for Archive: Include or Only

  3. Select the Search button.

  4. Select the Modify icon.

  1. Deselect the Archive checkbox.

  2. Select Save [F2].

View Existing Notes

View the Active Notes in the Notes Panel

Active Notes

The active Notes are displayed in the Notes panel.
  1. Select the Expand icon (plus) to view additional Notes.
  2. Include Task Notes: Select the checkbox to view Task Notes for this Encounter.

  1. Include System Notes: Select the checkbox to view notes on this Encounter created by the System.

View Specific Notes using the Filters

  1. Select the Notes link in the Notes panel on the Encounter Dashboard.
  2. Use the Filter Criteria to narrow the list to find specific information quickly.
    1. Note: Look for a specific word or phrase.
    2. Category: Select a specific Category, such as Billing Note.
    3. Added by and Modify by: View Notes that were added or modified by a specific User.
    4. Added From and Added To: Use a date span to view notes in a specific time period.
    5. Modified From and Modified To: Use a date span to view notes that were modified in a specific time period.
    6. Encounter Notes: Include (default), Exclude, or Only
    7. Encounter: Defaults to the Encounter that you are on.
    8. Alert: Select the Type of Alert to view.
      1. Pop-up
      2. Header
      3. Both
      4. None
    9. Effective and Expiration Dates
    10. System Note: Select Include or Only to see System generated Notes for this Encounter.
      1. Exclude is the default.
    11. Archived: Select Include or Only to see Archived Notes on this Encounter.
      1. Exclude is the default.
    12. On Statement: Select Include (default) or Only to see Notes that were designated to display on the Statements.
      1. Select Exclude to remove from the list.
    13. All Patient Search: Selecting the checkbox opens another field to add other Patients.

Notes Panel Columns
  • Modify Icon: Select to make changes to the Note
  • Category: This is the Category that was selected when creating the Note.
  • This column is blank on an Auto-Note
  • Note: Description or action that created the Note
  • Added: Date the Note was added
  • By: User who added the Note or performed an Action that created an Auto-Note
  • Last Modified: The date when the Note was modified.
  • By: Who made the modification
  • Statement: Shows a green check if this is a Statement Note.
  • Alerts: Type of Note
  • P: Pop-Up
  • H: Header or Both
  • P/H: Both Pop-up and Header
  • Archive: Allows Notes to be quickly Archived.

View Filtered Notes

Print/Download/Save Notes

Print/Download a Notes List

Print Filtered Patient Notes from the Patient Dashboard  

  1. In the Notes Panel on the Patient Dashboard, select the Notes link.

  2. Select the PDF icon .

  1. Select your Print icon (Yours may look different than the screenshot below.)

  2. Follow your printer's dialogue instructions, which may be different than below.

Download a Notes List  

A PDF or CSV document can be downloaded to your computer.

  • Select the Excel (csv) or PDF icon.

  • PDF Download

  • CSV Download

  • Save as: Save as an Excel Document before making any changes.

  • The document can be renamed.

  • After saving, the document can be modified, and the modifications can be saved.

     

Print Patient Notes from the Custom Query Report  

Patient Notes can also be printed using the Custom Patient Query Report for a specific Patient for specific dates.

  • A Date Range can be used to pull specific notes for a specific date(s).

  • The Patient ID can be used to pull a specific Patient.

  • Select Column, Patient > Notes

  • Use the PDF   icon to export.

Save a Notes List
  1. Select the Notes link in the Notes panel.

  1. Select the Criteria for the list.
  2. Select the Search button.
  3. Select the Save icon.

  1. Enter a Name for the Saved List.
  2. Default: If applicable, select the checkbox for this List to auto-display when the Notes link is used.
  3. Enter a Description (optional).
  4. Select the Share checkbox to share the list with other Users that have the same User ID Group.
  5. Select Save [F2].

Delete a Note

Delete a Note

It is not recommended to delete Notes unless it was entered by mistake.

  • The Notes serve as the history of what has occurred on this Patient.
  • Archive or Expire the Note instead.

Delete

  1. In the Notes panel, select the Notes link.

  1. Select the Note to highlight it.

  2. Select the Delete button.

  3. Enter a Reason (mandatory).

  4. Select the Delete button.
