Overbooking in an Appointment Slot

The Allow Overbooking setting controls the ability of a User to save an Appointment in a Slot where the maximum number of Appointments has been reached.

  • Access to overbook is controlled by User Permissions.
  • This maximum number of Appointments for a Slot is defined in Scheduling Setup. 

Allow Overbooking by Role

  1. Under Security on the Admin Dashboard, select Security Roles.

  1. Select View in the Permissions column.

  1. Select the Role where this permission should be allowed or disallowed.
  2. Type Overbooking on the Search line.
  3. Select the Allow Overbooking checkbox (Uncheck to Prevent Overbooking).

Scheduling an Appointment Beyond the Slot Capacity

When attempting to schedule an Appointment beyond the capacity of the Slot, a Warning displays highlighted in red at the top of the Add Appointment screen.


When saving the Add Appointment screen, a Validation Warning or Error will display depending on your User Permission for Allow Overbooking,

  • If you have the User Permission, a Validation Warning will display.
  • The option to Save All is available.
  • If you choose the Save All button, the Appointment will be added even though the slot is being overbooked.
  • If you do not want to overbook the slot, select the Skip Appointments with Conflict button.

  • If you do not have the User Permission, a Validation Error will display.
  • You will not be able to Save the Appointment.
  • Select the X on the upper right of the popup to select another appointment slot.
