The Encounters by Status Report is useful for seeing the Status Encounters are in currently and historically with a breakdown of Statuses at the end.
The report will return a maximum of 100,000 Encounters. If your result set is going to be more than 100,000, you will want to use a smaller date range.
Landscape Mode gives the best output to avoid wrapping lines.
Run by
- Date Type
- Post Date
- DOS
- Moved to Status
- Date Span
- Date Range or a more specific selection, such as previous week
- The Date will auto-populate.
- From/To: If Date Range is selected, enter the From and To dates.

Multi-Select Fields
- Insurance or Insurance Reporting Group
- Responsibility: Select from the dropdown
- All, Primary, Secondary, Tertiary, Patient
- Payer ID: Multi-Select field
- Facility or Facility Reporting Group
- Billing/Rendering or Provider Reporting Group
- Referring Provider or Referring Provider Reporting Group

- When filtering by User, the report only shows the status of the responsible party that the User touched.
- All responsible statuses are not included

Other Criteria
- Resolved Tags: Include, Exclude, or Only
- Exclude: Shows Resolved Tags with the Tags column being blank
- Include: Shows the same list as Exclude but shows Resolved in the Tags column.
- Rejection Message: Enter a Rejection Message (one word or multiple words in the rejection message).
- Include Rejections Messages: Select the checkbox to include the Rejection Messages on the report.
- Include Historical Statuses
- When selected, this option will include all Encounters that have ever been in the Status(es) being reported.
- If this option is not selected, the report will only return Encounters that are currently in the reported Status(es).
- Sort By:
- Patient/Encounter/Date
- Date
- Output As: PDF, CSV, or Spreadsheet
- Orientation: Landscape is the best option for this report to avoid the wrapping of columns.
- Font Size: Medium is best
- Cover Page: Check to include a Cover Page.
- Usually this is left unchecked.
- Footer Info: Check to include the Report Criteria.

- Run: Select to run the Report.

Why is the Encounter # and the Count # different In the summary at the end of the report?
An Encounter may have multiple Statuses, but the Encounter is only counted once.
Example 1: Encounter 8297 has a Primary, Secondary, and Patient as responsible parties.
- The Encounter will only be counted once, but the Status Count will be:
- Primary: IP03 (Ready for Submission): 1
- Secondary and Patient: HCOB (Hold Coordination of Benefits): 2

Example 2: Patient 13297 has two Encounters that meet the filter criteria.
- BCBS: FP (Finalized Paid)
- Medicaid: IP03 (Ready for Submission)
- Patient: NOBAL (No Balance)
- BCBS: IP03 (Ready for Submission)
- Medicaid: Hold for Coordination of Benefits
- Patient: NOBAL (No Balance)
