You can always return to the Home Page by selecting the Practice Name at the top left of your screen.

  1. Guarantor Name
  2. Amount Due
  3. Unapplied Funds: Money that has not been applied to an Encounter.
  4. Select the Pay Now button to make a Payment.
  5. View Current Statement link.

Account

Using the Account link, the Guarantor can get a complete view of their Visits, Payments, Statements, and Balances.

  1. Select Account.

  1. Amount Due: This is the amount due on this Statement.

  2. Last Statement: The amount that was due on the previous Statement.

  3. Current Balance: The Balance that is due on this Statement plus previous Statement balances that have not been paid plus any Encounters that have Patient Balances after this Statement was created.

  4. Unapplied Funds: Money that has not been applied to an Encounter.

  5. Pay Now: Select this button to make a Payment.

Visits Since Last Statement  

The Account Statement screen shows Encounter Details by Facility.

  1. Visit History link: By Default, this link shows all Visits with an Open Balance.

    • Filters are available to enhance your search.

  2. Hide Current Visits link: Hides all Visits and displays only the Statement History.

  3. Facility, Provider, and Patient: The Visits are grouped by Facility, by Provider, and by Patient.

    • Example: Each one of these will have a separate section. Unique combination

      • Facility A with Provider 1 and Patient A

      • Facility A with Provider 1 and Patient B

      • Facility B with Provider 1 and Patient A

      • Facility A with Provider 2 and Patient A

  1. Visit Details

    • Service Date: The Date of the Visit

    • Service ID: Encounter number plus the Line Item number.

      • Example: 67563-4 (Encounter 67563-line item 4)

    • Amount Billed: This is the total amount billed for the specific Line Item.

    • Amount Adjusted: Patient and Insurance Adjustments

    • Insurance Paid: Amount that the Patient's Insurance has already paid.

    • Patient Paid: Payments made by the Patient which includes CoPays and Co-Insurance.

    • Remaining Balance: Amount left in Patient Responsibility.

  2. Second Facility: Listed in a separate section because of the Facility being different but with the same Provider and Patient.

Visit History 

By default, the Visit History shows Encounters with Open Balances.

Use the Filters to narrow your search.

  1. Date From and To:

    • Select a specific Date Range: Shows Visits in the Date Range entered.

    • Select a specific From Date: Shows Visits on and after the chosen date and does not show Visits before that date.

    • Select a specific To Date: Shows Visits on or before the chosen date and does not show Visits after that Date.

  2. Select specific Procedure Codes: By default, Select All is chosen.

  3. Select Open Balances (Default) or All Balances.

  4. Select a specific Location (Facility): All Locations is selected by default.

  5. Search button: Select after making the Filter choices.

  6. Visit History results that display the Filter choices made.

  7. Select the number of Items to display on a Page.

Hide Current Visits 

Hiding the Current Visits leaves only the Statement History.

  • Select the Show Current Visits to display the visits again.

Collection Balance


Notes
Show Collections must be enabled in POPS Management, and the Guarantor must have a Collection Balance for this panel to appear in POPS.

The Collection Balance panel is on the Account page.

  • The phone number provided will be pulled from the Footer Number that is setup on the POPS Group.

Appointments

The POPS Appointments screen allows Patients and Guarantors to view their Past and Upcoming Appointments.

  • Guarantors will be able to see the Appointments for all of their Patients or filter for a specific Patient.

POPS Appointments

  1. Select the Appointments link.
  2. Use the Filters to find specific Appointments.

  1. Select the up/down arrows to expand or collapse the Upcoming or Past Appointment panels.
  • The Past Appointments panel will be collapsed by default.
  1. Select anywhere on the Appointment to view more information.

View the Appointment Details

View more information about an Appointment by selecting an Appointment on the Appointments screen (see Step 4 above).

  • The Appointment Screen gives more information about the selected Appointment, such as the:
  • Patient Name
  • Date
  • Type
  • Provider
  • Location
  • Select the Location link to view the clinic location on Google Maps.
  • The Appointment Number on the bottom right of the Appointment corresponds with the Appointment Number in the PM.

Pay

A POPS Payment can be made in the Full Portal or using QuickPay from a link or QR Code.

  1. Select Pay or the Pay Now link in the Full Portal to navigate to the Make your Payment screen.
  • In QuickPay, you will land on the Make your Payment screen.

  1. Payment Amount: Select the radio button for one of the following:
  • Current Balance: This is the Balance on the last Statement plus Patient balances after the Statement was run minus any Payments made on the last Statement.
  • Amount Due: This is the amount that is due on the last Statement minus any Payments made since the last Statement and before the next Statement.
  • Other Amount: Enter your own Amount.
  1. Select the Next button.

  1. Select your Payment Method.
  • Apple Pay
  • The Apple Pay option will only display as a Payment option if:
  • It has been set up to use.
  • The User is on an IOS device, such as an iPhone or Mac, and is accessing the Portal from a Safari Browser.
  • There are no split Payments to multiple Facilities or Providers.
  • Google Pay
  • Credit Card
  1. After the Payment Method is chosen, select the Next button.

Payment Methods

Credit Card Payment

  1. Select Credit Card for Payment Method.
  2. Select Next.

  1. Select an already existing Credit Card.
  • OR Enter a New Card
  • Enter the Credit Card Information

  1. Select the Store Card for Future Use checkbox to make the card available in the future.
  • Since the Credit Card information is not stored in the System, you cannot edit it.
  • After storing the card, only the last 4 digits of the card number are visible.
  • If the Expiration Date or CVV has changed, a new Credit Card must be added.
  • Only active Credit Cards will be available here.
  1. Select Pay.

Payment Receipt

If the Payment was successful, the Guarantor will receive an on-screen Receipt with the ability to Print it.

  • If an email address was entered, the Guarantor will receive a Receipt via email.
  • Note: The Guarantor will only receive the Receipt via email if the POPS Management checkbox Email Receipt is checked.

Payment Failed

If the Payment failed, this screen will display.

Google Pay and Apple Pay


NotesUtilizing Google Pay and Apple Pay within the POPS Portal requires a different setup than Google Pay and Apple Pay through a physical Credit Card Terminal.

Google Pay and Apple Pay serve as digital wallets for Patients/Guarantors to make Payments in POPS without entering additional Credit Card information.

  • Google Pay and Apple Pay must be activated in POPS Management.
  • The Guarantor/Patient must have a credit/debit card set up on the Apple Pay App.
  • Google Pay gives the option to enter a credit/debit card if one has not already been set up on the Google Pay App.

Google Pay

  1. Follow the instructions to Make a Payment and select Google Pay.

  1. Select the Pay with  Pay button.
  • A pop-up from pay.google.com will display.

  1. Select your Google Account.
  • Skip to Step 5 if you already have a credit/debit card set up for Google Pay.
  1. If you do not have a credit/debit set up in Google Play, the Complete your Purchase pop-up will display.
  • On the Complete your Purchase pop-up, select Continue.
  • Enter your Credit/Debit card information on the next pop-up.
  • Select Save card.
  1. Select a Payment Method.
  2. Select Continue.

Apple Pay

  1. Follow the instructions to Make a Payment and select Apple Pay.
  2. Select Next.

  1. Select the  Pay button.

  1. Select the Payment Method.
  2. Follow the prompts on your mobile device or your computer.

Receipts

Each time the Patient makes a Payment on POPS, by mail, or in the office, a Receipt is created and displayed on POPS.

  • When the first POPS Payment is made in a day, a new Reference Batch is automatically opened by the System with the following criteria:
  • Date of the Payments
  • Description: API Payments
  • User: POPS
  • All subsequent POPS Payments with that same Receipt Date are added to that Reference Batch.
  • The Reference Batch will be closed automatically.
  • The Reference Batch should not be closed manually by a User.
  • A new Reference Batch with the same criteria will be created the next day when the first POPS Receipt is received.

Receipt History

  1. Select the Receipts link on the upper right to display a list of Receipts
  2. The Date of the Payment & Receipt Number
  3. Paid: The Payment was successful
  • Amount of the Payment and the Method of Payment
  1. Unsuccessful: The Payment did not process.
  • Amount will be $0.00
  1. Select the down arrow to show more detail.

  1. Select the Number of Transactions link to display the Transaction number and Transaction Amount.
  2. Use the up/down arrow to open and close receipt details.
  3. Select the Itemized Receipt link for further detail with the ability to print.

  1. Select the Print Icon to print the Receipt.

To navigate back to the list of Receipts after viewing the Itemized Receipt, use the back arrow on the upper left.

Email Receipts

Patients can receive a Receipt via email after making a Payment if the checkbox Email Receipts is checked in POPS Management.

  • The emailed Receipt includes:
  • Receipt #
  • Guarantor
  • Account
  • Date Paid
  • Transaction #
  • Card Type
  • Amount Paid

Statements

Statement History can be viewed in POPS.

  1. Select the Statements link.
  2. A list of Statements by Due Date will display.
  • By Default, all Insurances, Paid and Unpaid, will be listed.
  • Note: The Date is the Due Date for Payment.
  1. Select Hide Paid Statements link only to show Statements with outstanding balances.
  2. Select the down arrow, to see more detail.

  1. After selecting the down arrow, choose the Detailed Statement link for the ability to print the Statement.

  1. Statement Balance
  2. Account Number
  3. Date Due
  • This Date is the same as the Due Date in point 2 above.

  2. Select the Print icon.
