Preparation for Training

Welcome to Your Training Implementation!

We will be using Smartsheet throughout your software implementation and training. You will be able to see training progress, take notes, and ask questions. You may be assigned "homework" to do before your next training session.

First, create a Smartsheet username and password using this link: https://www.smartsheet.com/try-it?trp=77&lpv=topnav.
Disregard the 30 day trial message. You will have access through the entirety of your training.
After you have a login, links that are specific to your project will be provided.
  1. You can follow along with your implementation progress.
  2. You have access to the Knowledge Base links which contain helpful information that you can use during your training.
Since the Knowledge Base (KB) is frequently updated, bookmark the KB articles for easy future access to the step-by-step instructions instead of downloading them.

First Training Session  

Before your first training session, your Implementation Manager will ask you to set up the following Libraries. It is important to get this setup done before your training date. If you have not completed the Libraries before your training date, your Implementation Manager will contact you to reschedule.

 

Set Up of Four Key Libraries

Before your first Training Session, set up the Libraries in the following order. Click on each link for documentation.

 

Information needed for Your First Training Session

Your Implementation Manager will review the information that you set up in your Libraries. Please have the following information available before the Training Session.

  • Pay to/Billing address with EIN (Tax ID) and NPI numbers. This is the group NPI unless the practice does not have one.

  • Places of Service (Service Facilities), addresses, and NPI numbers. This includes hospitals and nursing homes where the provider sees patients.

  • Referring Doctors and their NPI numbers. If there was a Conversion, Referring Doctors may be imported from your current System depending on your Conversion choices.

  • Insurance Carriers and addresses: If there is a Conversion, the Insurances might be imported from your current System depending on your Conversion choices.

  • Procedure codes, NDC information, and any custom codes you may use.

  • Dunning Messages for Statement setup.

 

Homework for Your Training Sessions

As part of your Training experience, your Implementation Manager will ask you to do some Homework. Doing the Homework prepares you and your staff for the next Training Session. Your Sessions will be more productive and efficient if you have your questions ready beforehand. A prepared staff will result in a smooth Go-Live.
