Appointment Update Reminders can only be sent if Appointment Reminders are enabled in the Database. Appointment Reminders are an Add-On Product. Contact Support or your Account Manager for more information.

Appointment Update Reminders can be sent on-demand when updating the status of an Appointment or when updating Appointment Statuses en masse.

  • Appointment Update Reminders are tied to specific Appointments and are sent on-demand.
  • These can be sent individually or en masse.
  • Appointment Update Reminders use configurable Message Templates and Mappable Fields to ensure correct delivery, but also allow free text entry.

Send Appointment Update Reminders

You can send Appointment Update Reminders from multiple places in the System depending on the desired workflow and outcome.

  • To send an individual Reminder to a specific Patient:
  • Select the Send Notification button on the Patient Appointment Screen.

  • To send Reminders en masse and update the Status of all selected Appointments (optional):
  • Select Manage Appointments on the Calendar.

  • To send Reminders to any Appointment affected by Blocked Time:
  • Select Send Notifications in the Affected Appointments panel on the Block Time popup.

Appointment Update Reminder Criteria

  1. Enter the Send Criteria.
  • Send Date/Time: The Date and Time that the Notification(s) will be sent. The Date can be the current date, but the time cannot be in the past.
  • Text/Email/Voice: Choose the method to notify the Patient.
  1. Choose or create the Message:
  • To use a saved Template, select the Template in the Template dropdown.
  • To create a new Template, select -MANAGE- in the dropdown.
  • To create a one-time message, enter the text directly into the Text/Email/Voice fields.
  1. Insert Mappable Fields (optional):
  •  Left-click the icon next to a Mappable Field to copy it, and then paste it into the message
  • Example: To automatically include the Appointment Date, copy and paste the Appointment Date Mappable Field. The System will populate it when the message is sent.
  • Note: If the formatting of a Mappable Field is changed, it will not work, and the formatting of the message will be incorrect.
  1. Select Save [F2] to send the Reminder.
