Modify/Delete/Merge Encounters on Incomplete Charges

Delete an Incomplete Charge

This action cannot be reversed.


Reasons for Deletions

  • A duplicate Encounter was received.
  • The Charge was created from your Clinical Documentation in error.


Deletion

  1. Click on the Encounter number on the Incomplete Charge Review screen.
  2. Select the Delete button.

  1. Enter a Reason.
  2. Click Save [F2].


Delete an Encounter after it has been saved

If an Encounter was entered in error, you can delete it by making it Incomplete.

  • The Delete button will become active on the Encounter Dashboard after the charge has been made Incomplete.


Make the Encounter Incomplete

  1. Open the Encounter.

  1. Select the Modify button.
  2. Charge Type: At the bottom of the Modify Charge screen, change from Production to Incomplete.
  3. Select Save [F2].

  1. Enter an Incomplete Reason.
  2. Select Save.


Delete the Incomplete Encounter

  1. Select the Delete button on the Encounter Dashboard.
  2. Enter a Reason on the pop-up.
  3. Select Save [F2].


Modify an Encounter/Incomplete Charge

  • Click the Modify icon (pen and paper) to open the Modify Charge pop-up window.
  • Make changes to the Charges.
  • Select Save [F2].


Modify an Encounter from the Encounter Dashboard

  • Click the Encounter number on the Charge Review screen.
  • From the Encounter Dashboard, the charge can be modified, deleted, split, or added to the Worklist.


Change the Insurance on the Modify Charge Screen

If the Insurance field is not grayed out on the Modify Charge screen, it can be changed on this screen.

  • When the Insurance is changed, a popup will display regarding a Fee change if different than the current fees.
  • Select the OK button.

If the Insurance is grayed out, it will need to be changed in Insurance Management.

When updating an Insurance Profile on Encounters, the Charge Fee may change if the new Payer is attached to a different Charge Fee Schedule.

Merge Encounters

The Merge Button will not appear if the Split Encounters are in different Reporting Periods.

Do Not use the Merge function for Duplicate Encounters.

  • If there are two separate Incomplete Charges with the same Date of Service that belong on the same Encounter, the Encounters can be Merged. Both Charges will be combined on one Encounter.
  • There are also occasions where two Dates of Service will need to be on the same Encounter, such as Dialysis Charges that are reported monthly.
  • The Dates of Service cannot span across months. The Encounters must all be in the same month.
  • Select the checkbox beside each Encounter.
  • Select the Merge button.

  • Select the Save and Continue button on the pop-up Validation Warning.


After the Merge, the Incomplete Charge can be Completed.


Merge was done Accidentally

If the Merge was done accidentally, the Encounter can be split into two Encounters again by using the Split Button on the Encounter Dashboard.
