Merge Patients
Duplicate Patients can be merged if specific criteria are met. This is done on the Admin Dashboard and is permission controlled.
- From the Admin Dashboard, select the Merge Patients button.

- Use the Filter criteria to find duplicate Patients.
- The default criteria are First Name (cannot be unchecked), Last Name, and Date of Birth.
- The First Names of the Patients must be the same or they will not show on this list.
- If for some reason the First Names are different, change them before starting this process.
- Select Search.

- Select the checkboxes in the Patient list to choose the Patients to merge.
- Select Merge.

- From the Select Patient to Merge Into dropdown list, choose the Patient ID that you want to keep.
- This will be the Patient ID with the most accurate Demographic information.
- None of the Encounter information will be lost, but the Demographic information of the Patient that was chosen to keep will become the new Demographic information.
- All Appointments will also be merged into the final Patient account.
- Select the two checkboxes under Warning to verify that you understand the warnings.
- Select Save [F2].

Merge Two Patients with Current Encounters
- The Encounters will move to the Patient you have chosen to keep (destination or Merge into Patient ID).
- If an Encounter is out to the Payer, it will not match on the ERA Remit when the payment is received.
- It will go on hold and will need to be posted manually.
Patient Does Not Appear on the Merge Patient Screen
Uncheck any Filters that may prevent the Patient from showing on the list. If you are not seeing the expected results, broaden your search criteria.
- Check to make sure that the First Name matches.
- If the First Name does not match, go to the Patient records and modify the First Name to match.
