Link Appointments to an Encounter

Linking an Appointment to a Charge/Encounter ties the two together. The Missing Encounters Report is used as an audit tool for Appointments on the Calendar that do not have a corresponding Encounter.
  • If the Appointment is not linked, it will appear on the Missing Encounters Report. 

Logic for Manually entered Charges

  • When the Charge is entered, any unlinked appointments from the last 30 days will display in a popup.
  • The Appointment can be linked manually using the Popup.

Logic for Charges created from the Clinical Documentation

  • If there is only one Appointment that matches the Facility/Resource/Patient/DOS, the Encounter is linked to the Appointment automatically.
    • If the Appointment did not auto-attach to the Encounter, most likely, one of these did not match.
  • If the Appointment did not link, manually link it when the Encounter is being modified.


Link an Appointment to an Encounter During Charge Entry

If a matching Appointment exists, and it does not link automatically, a pop-up displays for linking the Appointment.
  1. If there is no popup on the Modify Charge screen, select the None button to open the window.


  1. Select the Date Link; or select the checkbox next to the Appointment and select the Link button.
  2. The Appointment(s) button updates from None to 1 Linked.



If you do not link the Appointment during Charge entry, you can return to the Modify Charge screen to link the Appointment.


  1. Select the None button next to Appointment(s) on the Modify Charge screen.
  2. In the pop-up, select the check boxes for the Appointments to link to this Encounter.
  3. Select the Link button.
  4. The button changes from None to x Linked (2 linked).
