Group Appointments


Add/Edit/Reschedule Group Appointments


Book Group Appointments

  1. Click the Slot for the appointment.

  1. Choose Group from the dropdown list.
  2. Choose the Group appointment.
  3. Appointment Type is auto-filled by the Group selected.
  4. The Selected Group area displays the details of the Group with an icon to edit.
  5. Click Save.

Group Appointment Actions

Select the Group Appointment.

  1. Action Buttons:
  • Group Status panel buttons: Affect the entire Group
  • Check In (1): Use Check In next to a Member to check them in individually
  • Cancel (A): To cancel the entire Group. Use the Cancel button next to a Member to cancel an individual
  • Reschedule (B): Reschedule the Group
  • Delete (C): Use if the appointment is made in error
  • New Appt (D): Acts as a copy/paste feature to schedule the next appointment
  • To Worklist (E):- Add an appointment to a Worklist

  1. Click the Edit icon to the left of the Patient's Name to access the Patient Appointment screen to access that person's appointment screen (collect copay, etc.). Hover over the Edit icon for Member Demographics.


Rescheduling Group Appointments

  • Same process as rescheduling for non-Group Appointments.
  • Statuses are kept if the Group Appointment is moved to a different Resource/Facility.
  • In the Reschedule Queue, you will see the Group Appointment, not individual patients.


Edit an Appointment Group

Appointment Group Modifications

  1. From Scheduling on the Left Side Menu, select the Group Management button.
  2. Select the Group ID.


  1. Select the Edit link to make changes to the Group.


Action Icons: Remove, Vacate, Rejoin, Transfer, and History Icons

Once a Leader or Member is added, the Action icons can be used to Edit the Leaders and Patients. Hovering over the icons will give Action guidance.


  1. The X icon  removes a member and the record from the group. This is only available if the person has never attended a Group Appointment.
  2. The Red Person icon  vacates the spot a member held in the group but leaves the person's record visible.
  3. The Green Person icon  Member leaves the group but the spot is held to rejoin at a later time.
  4. Transfer to another group: Use the right Arrow icon  to transfer the member to another Group.
  5. The History icon  displays changes for the members in that Group.
  6. Select Save [F2].


Edit the Group when the Appointment is being Made

  • Select the Edit icon on the Add Appointment screen.

Edit the Group on the Appointment Screen

  1. Select the Appointment on the Calendar

  1. Select Edit Group.



HL7 Message (Interface details)

  • A ZGP segment is used to identify the Group
  • ZGP.1 = Group Appointment ID
  • ZGP.3.1 = Group Name
  • ZGP.3.2 = Group Description
