Validation Warning on Charges

Validation Warning: You are about to save a Charge with Self Pay responsibility

    1. The Validation Warning pop-up is informational only.

      • In this case, you are confirming to save a Charge without Insurance.

        • If you agree, select the Save & Continue button.

        • If you do not agree, select the X on the upper right to go back to the Modify Charge screen to make changes.


Validation Warning: There is already a Procedure entered with CPT® Code XXXXX and Service Date XX/XX/XXXX for this Patient Encounter XXXXX

This Validation Warning displays when the Charge is Saved if there is another Encounter that has this same Date of Service and same CPT for the same Patient.
  1. Compare the two Encounters.
    1. Select the link on the Warning to see the already existing Encounter.
    2. Review Diagnosis Codes and CPT Codes.
    3. Review Providers and Facilities.
  2. If this is not a Duplicate, select the Save and Continue button on the Validation Warning.
  3. If the Encounter is a Duplicate, select the X on the upper right corner of the Validation Warning, and Cancel the claim.
  4. If the Encounter appears on the Incomplete Charge Review screen as a duplicate, the Delete button can be used to remove it.

Validation Warning: Diagnosis XXX is not valid for the Patient's age (XX). Patient must be XX years old

To make a change in the ICD Code where you are getting this Validation Warning (You will only make this change if the Age range is not correct):
  1. Go to the ICD Codes Library.
  2. Select the Diagnosis Code link that you want to modify.
  3. Select the dropdown for Age Specific and choose the appropriate age or select Not Age Specific.
  4. Select Save [F2].

Validation Warning: Facility for Line 1 (or on the Case) does not match the Facility on the Charge

  1. To correct the Facility on the Line Item, or on the Case use the X to close the Validation Warning.
    1. To correct the Line item, select the Line Item number and change the Facility and Save.
    2. To correct the Facility on the Add/Modify Charge screen, select the Facility field and choose the same Facility that is on the Line Item.
    3. To correct a Case, the Edit link beside the Case on the Add/Modify Charge screen, change the Facility.
      1. If you want the claim to go out as entered, select the Save and Continue button.
