Scheduling Setup is the backbone of your Calendar. The setup drives the options you have when making an Appointment and the column options that can be displayed.
If the Expiration Date is left blank on the Schedule Build, the Calendar will extend out 3 years. It rolls over every day, which then includes the next 3-year day on the Calendar.
Example:
If your Build starts on January 1, 2025, it will auto-format on the Calendar to January 1, 2028.
On January 2, 2025, the Build will auto-format to January 2, 2028.
The Calendar Build automatically rolls to the next day three years out.
If this default needs to be changed, contact your Implementation Manager.
The setting must be changed before the Schedule Build is created.
It will be in effect on a go-forward basis on the new Build, but will not backfill old Builds.
If you have Providers that start and end their day at different times, set this for the earliest time and latest time.
Use Military time.
Select Schedule on the left Sidebar menu.
Choose Schedule Setup.
Open the Calendar using one of the methods shown below.
Select the Settings tab from the Calendar.
Under Action, select Schedule Setup.
Tabs on the Scheduling Setup Screen
Types: Appointment Types that will be used for making Appointments, such as, Office Visit, New Patient, Follow-up, etc.
Resources: These are columns that will be displayed on the Calendar, such as Providers, Rooms, Equipment, Labs, etc.
Slots: These are the Appointment Slots that will define each slot on the Calendar and the Appointment Types that can be scheduled there. You may have a simple schedule with a generic Appointment slot where any Appointment Type can be scheduled, or you may have a schedule that is more complex where you have slots that only specific Appointment Types can be scheduled. The slot setup also determines how many Appointments can be scheduled in any particular slot.
Statuses: There are predefined Statuses that cannot be changed. However, you have the option to create additional Statuses or a custom border color around a Status to identify it on the Calendar quickly.
Build: Builds define what, when, and where Appointments can be scheduled using the Slots per Resource and Facility. Use the popout icon on the Build tab to move the Build process to a full screen experience, which can be helpful when working on a larger Build.
Rules: Create Scheduling Rules to ensure optimal patient flow by controlling the maximum number of Appointments allowed for AM, PM or Day, required interval between Appointments, control how far in advance an Appointment can/should be scheduled, etc.
