Partial Invoice Refunds

Partial Invoice Refunds follow the same processes as a Partial Insurance Refund.

Use the Refund method below when an Employer overpays an Invoice by mistake.

  • Example: The Invoice amount due is $230.00 but the Employer paid $280.00.

    • Refund $50.00.

If a Patient was billed on an Employer's Invoice in error, use the Credit Memo process to refund the Employer.

Create the Invoice Refund Receipt

  1. PaymentsPost Refund

  1. Refund Type: Select Invoice Refund
  2. Enter the Mailed Date.
  3. Enter Check Date (Optional)
  4. Select the Employer.
  5. For non-credit card payments, uncheck Electronic Refund.
  6. Refund Amount: Enter the amount being refunded.
  7. Enter the Reference/Check Number (Optional).
  8. Enter a Note (Optional)
  9. Select Save [F2].


Post the Invoice Refund

  1. On the Receipt Dashboard, select the Post (Expert Mode) button.

  1. Enter Patient/Encounter number or select the Patient using the Lookup icon. (Tab)
  2. Select one of the Encounters in the window.

  1. Transaction Code: Enter VRF.
  2. Enter the Refund Amount for the Encounter. (Tab)
  3. Select the Save Unbalanced button.
  • This will open the Save button.
  1. Select Save [F2].

 Invoice Refunds will be reported in the same reports for Invoice Payments.
