Researching missing ERAs is a time-consuming process. If the Payer has the 835 file available, consider Importing the 835 File. If the check is a small amount, manually post the EOB.Missing ERAs Process
If you have a deposit in the bank, received a check in the mail, or the Payer has verified that the check/deposit has been sent, and the ERA is not in the System, before creating a Ticket:
- First check the System to make sure the ERA is not there.
- Use the Filters to search
- Change the Status to All.
- Enter the Tax ID in the ERA Tax ID field.
- To search by Check Amount, enter the Deposit Amount without any commas in the Amount field. (Example: 2052.19)
- To search by Check Number, enter the last 4 or 5 digits of the Check Number in the Check/Transaction Number field.
- To search by Payer, enter the Payer ID in the Payer ID field.
- Verify that an Enrollment has been completed for the Payer.
- Wait 48-72 business hours because EDI cannot research a missing ERA before that time period.
- EDI cannot research a missing ERA before 48 hours.
- EDI cannot research an ERA that is over 3 months old.
- After 48-72 hours, create a Ticket with the following information:
- Tax ID
- Check #
- Amount Paid
- Date Paid
