Incomplete Charges: Filtering Criteria

Incomplete Charges: Filtering Criteria

Use Filter Criteria to facilitate your workflow to review and complete a limited subset of Encounters.

Examples:

  • A biller/coder only works with Medicare charges, use the Insurance filter.
  • If you only work with a certain Provider(s), use the Billing or Rendering Provider filter.
  • If you only want to work patients whose last name begins with A - C, use the Patient Range filter.

Filter Criteria Panel

The Filter Criteria Filter Panel contains:

  • Data Entry: These are filters where you enter the parameters, such as, DOS From and To.
  • Data Select: Use the Lookup icon to select paramenters, such as, Patient, Insurance, etc.
  • Inc/Exc: Use these Filters to Include or Exclude specific parameters.
  • Inc/Exc/Only: The same as above except Only can be used to display a certain parameter alone.

Disable Merge Checkbox

To allow the merging of Encounters, the review screen can only be sorted by Patient.

  • To sort Encounters by columns other than Patient, select the Disable Merge option and click Search to refresh your results.
  • If your workflow does not involve merging Encounters, you can save your filters with the Disable Merge checkbox selected.
  1. Select Disable Merge checkbox.
  2. Click the Save icon.
  3. Enter Name.
  4. Select the Default checkbox.
  5. Enter Description.
  6. Click Save [F2].

Needs Merge Filter

Use Merge to combine multiple Dates of Service onto a single Encounter.

This should NOT be used to merge Duplicate Encounters.

  • Selecting Needs Merge Only will show Patients that have more than one Encounter on the Charge Review screen.
  • Encounters showing on this screen does not mean that the Encounters need to be merged, but will show Encounters that may need to be merged.

Review Charges with Errors

The Charges that have errors are highlighted in red.

  • These can be worked without filtering.
  • Using the filters, Encounters with specific errors can be grouped together.

Review Charges with Missing Information

Example: List only the Encounters that have the Diagnosis missing.

  • Select Only for the Dx Missing filter.
  • Select the Search button.

Review Charges with Cases and Authorizations

  • Encounters with a Case and/or Authorization can be identified by the following icons:

  • Select the C icon to open the Case Dashboard.
  • A Icon: Indicates that an Authorization is assigned to the Encounter.
  • Select the A icon to open the Add/Modify Authorization screen.

Tags on the Incomplete Charge Review screen

  • Tags are viewable on the Incomplete Charge Review..
  • The Tag Filters can be used to report specific Tags and Tag Attributes including or excluding Resolved Tags.

Review Charges with Copays

The Copay column displays the Payment Receipts.

  • The Copay is listed if a Patient Payment Receipt has the Copay field populated, and the Encounter DOS is the same as the Receipt Received Date.
  • The Copay Filter allows you to see Encounters with and without Copays by selecting options from the Copay Filter dropdown list.
  • Any: (our Default option): See all Incomplete Encounters regardless of Copay.
  • None: Exclude Encounters with a Copay.
  • Yes - All: Show all Encounters with a Copay.
  • Yes - Single: Show Encounters with a single Copay.
  • Exceptions - All: Show all Encounters with a Copay Exception.
  • Exceptions - Self Pay: Show Self Pay Encounters with a Copay. Used to help identify Encounters that should have an Insurance attached.
  • Exceptions - Multiple: Show all Encounters with multiple Receipts on the same day. The correct Copay must be linked to the Encounter before it can be completed.
  • When the Charge is completed, the Copay is auto-applied to Line item 1.

Incomplete Charge Exceptions

The following are some reasons for exceptions:

  • Multiple Copays collected without a clear Encounter connection: Highlighted in yellow in the Copay column.

  • A Self Pay Encounter with a linked copay: Highlighted in yellow.

  • Multiple Incomplete Encounters for a Patient with the same DOS that only has one Receipt (Payment).

  • Exception: Self Pay - Used to help identify Encounters that should have an Insurance attached.
  • Possible Duplicate Encounters are indicated by a Double Page icon in the Encounter column.
    • Any Encounters with the same Patient that share at least one DOS and Procedure Code will flag as Duplicates.
      • Encounters that do not share a Procedure Code can still be merged, but will not get flagged as Duplicates.
