Charge Templates

You can set up multiple Charge Templates. Create and Save these Templates for frequently entered Procedures that use the same set of codes or Self Pay Charges for products purchased in the office.

  • A Charge Template can also be used for Explosion Codes.


Add a Charge Template

  1. From Libraries on the left Sidebar menu, click Charge Template.

  1. Click Add to create a new template.

  1. Enter a Template Name.

  1. Enter applicable Diagnosis Codes or leave blank.
  • MISC can be used as a generic Diagnosis if the Claim is not being sent to an Insurance.

  1. Enter or Select a Procedure Code.
  • This can be the name of your product or a real CPT® code.
  • The CPT® must be added in the Procedure Code Library before it can be used here.
  1. Submit: The Submit Code is the actual CPT® Code that is being sent to the Insurance.
  • If this Charge is not being sent to an Insurance, it can be left blank.
  1. Modifiers: Add Modifiers if applicable.
  2. DX Link: Enter the number associated with the DX Codes.
  • Example: To link Diagnosis Codes 1 and 2, enter 12 with no spaces or commas.
  1. Units: Defaults from the Procedure Code Library or the Charge Fee Schedule but can be overridden here.
  2. Billable: This defaults from the Procedure Code Library but can be overridden here.
  • Bill: Bills to Insurance
  • Do Not Bill: Informational only. No transactions can be posted.
  • Patient Only: Bills to the Guarantor of the patient.
  1. Fee: Defaults from the Procedure Code Library or the associated Charge Fee Schedule but can be overridden here.
  2. Add a Line Note if applicable.
  • Tab through the fields until Procedure appears in the window below.
  • Add a second Procedure Line by entering the information for the second line.
  • Each line item will display in the Procedure Lines window as you enter them.

  1. Select Save [F2].


Explosion Codes

Charge Templates can also be used for Explosion Codes.

  • Example: Lab codes that are commonly billed together can be added to a Charge Template to automatically add these codes when the Charge Template is selected during Charge Entry.
  • Add all the Procedure Codes that you want to populate on the Charge Entry screen.
  • On the Charge Entry screen, select the Charge Template, and all codes will auto-populate.


Charge Template for Bonus/Capitation/Incentive Payments

  1. Description: Enter a recognizable Template Name, such as, Incentive Bonus Capitation
  2. Dx1: MISC
  3. CPT®: MISC
  4. Submit: Leave blank or enter MISC
  5. Billable: Select YES from the dropdown
  6. Fee: Leave $0.00 as the Fee Amount and tab through the fields until the Charge appears in the window.
  7. Notes: Enter a Note if applicable.
  8. Select Save [F2].



How to Use the Charge Template

Charge Templates can be used for bonus/capitation posting, combinations of Charges that are used together, Front Desk use for Self-Pay Forms and Product sales, etc.

  1. On the Post Charge screen, complete the Patient panel as usual.
  • For Insurance, choose the applicable Insurance or select Self Pay for Charges that are not being sent to Insurance.

  1. In the Claims panel, select the Charge Template from the Template dropdown.
  2. Enter the Date of Service (DOS) on the DOS popup window.
  • If there is an Appointment linked with the same Date of Service as the Charge, the DOS on the popup will default to the Appointment Date in Charge Entry.
  • The DOS on the Appointment will take precedence over the Reference Batch DOS.
  • The Reference Batch DOS will be used if there is not a linked Appointment.
  1. Select Save (F2).

This will override any existing charges on the Charge Screen.

  1. Complete any additional fields on the screen.
  • The Diagnosis Codes default from the Charge Template.
  • The Procedure lines default from the Charge Template.
  1. Select Save [F2].
