The Business Intelligence Dashboard is designed to optimize reporting by visualizing data stored in the PM System.

  • The Dashboard data is updated overnight, making it a day behind the data in the PM System.
  • The BI Tool collects, stores, processes, and analyzes large amounts of data.
  • The data is presented as a Dashboard populated with Visuals (charts) that utilize Controls (filters) and Drill Downs to display data based on the user's selections.
  • BI can be used to create performance Benchmarks that can aid in decision-making and operational processes in your practice.

Account Types

There are two QuickSight Account Types.

  • Reader Accounts: Readers can view and interact with Dashboards. 
  • Author Accounts: Authors can build Dashboards and modify the Author-built Dashboards.

Left Side Menu

The Left Side Menu displays on the Home screen.

  • If you navigate away from the this screen, select the QuickSight Logo to display the Left Side Menu again. 

    

  • Search field: Use the Search field to find Dashboards, Analyses, Datasets, and Folders by name.
  • Favorites: Dashboards, Analyses, and Folders can be selected as Favorites.
  • Select the Star icon beside a File/Folder or the Star icon on the tile to make it a Favorite.
  • Recent: Displays your most recently used Analyses and Dashboards.
  • My Folders: Create Folders for your personal use.
  • Dashboards, Analyses, and Datasets can be added to this Folder.
  • This action creates a copy and does not delete it from the original Category
  • Shared Folders: This folder contains Dashboards and Analyses that have been Shared with you.
  • The System Delivered Dashboards are given to users in a Shared Folder.
  • Dashboards: The files located here are the Analyses that have been published.
  • Once published, a Dashboard is created.
  • You can only see this Dashboard if you created it, or the User that created it shares it with you.
  • Analyses: These are the Analyses that you have created or have been shared with you.
  • Datasets: This is the data that is used to create the Analyses and ultimately the Dashboards.

Actions

There are Actions that can be performed on folders, files, and tiles using the ellipses (three dots) on the right.

  • To access the Action dropdown on a Dashboard Tile or Analysis Tile, select the ellipsis on the bottom right of the tile. Example:
  • Add to folder
  • My Folders
  • Shared Folders
  • See recent snapshots
  • Delete

  • To access the Action dropdown on a list item, such as on My Folder items, select the ellipsis on the far right. Example:
  • Share
  • Rename
  • Delete

Maximum Data Point Limitations

  • The QuickSight Business Intelligence tool is restricted to a certain number of data points before hitting a maximum limit. 
  • Depending on the visual, the maximum limit is between 5,000 and 10,000 data points.
  • When Drilling by Group or date, utilize the Filters to ensure that all data is captured in the Visual.
  • Example: Viewing a chart using Days over Ten Years may prevent all data from being captured because the maximum number of data points has been exceeded. 
  • Solution 1: Adjust your Filter to view a shorter time span.
  • Solution 2: Use the Filters to remove unnecessary data.
