BI: Snapshot Emails

Snapshots can only be sent to users that have access to the selected Dashboard. If the desired user does not appear as a recipient, ensure that the Dashboard has been shared with the user.

Sheets in the Quicksight Business Intelligence tool are sent as scheduled Snapshots through an automated email.

  • Snapshots are available on every Dashboard.
  • Recent Snapshots are stored in the Scheduling dropdown menu.

Snapshot emails come from QuickSight Report <no-reply@quicksight.aws>.

  1. Snapshot emails may take a few minutes to be sent to all selected recipients
  2. Ensure that the emails from QuickSight are not sent to a spam folder.
  3. Snapshot emails include a Dashboard button that directs the recipient to the Dashboard in QuickSight that produced the Snapshot.

Schedule a Snapshot

  • To email a Dashboard Snapshot to a user automatically, select the Scheduling icon in the upper right corner to display the dropdown menu.
  1. Select Schedules on the dropdown menu.

  1. Select Add Schedule.

  1. Name the Schedule.

  1. Under Content, select the desired Sheet.
  • The Snapshot only includes one Sheet.
  • Each unique Snapshot requires a separate Schedule.

  1. Under Dates, set the frequency, date, send time, and time zone of the Snapshot.

  1. Under Email, enter the Subject Line, Recipient, Email Header Test, and Email Body.
  • Include Sheet in Email Body: This provides a screenshot of the Sheet in the email.
  • This does not impact the following settings.
  • Download Link: Includes a link to provide access to the Snapshot.
  • The Download Link appears as a View Recent Snapshots button in the email and redirects the user to QuickSight.
  • File Attachment: Includes the Snapshot as a downloadable file.
  • This is a PDF or CSV based on the selection made under Content.
  1. Select Save.
  • Select the Save dropdown arrow to run the Snapshot immediately.
  • Select Send Test to receive a sample email to proof.

    

Edit, Pause, or Delete a Snapshot

  • Select Schedules under the Scheduling dropdown in the upper right corner to view existing schedules.
  • Select the dropdown icon next to the desired Schedule name to view Schedule information.

  • Use the Schedule toggle to Pause a scheduled Snapshot.
  • Pausing a Snapshot does not erase the information in the Date fields. 
  • Un-pause the Snapshot to resume the desired schedule.

  • Select the ellipsis (three dots) on the right to Edit or Delete the Snapshot.

Snapshot Examples

Snapshot emails only include the user-inputted information and the selected Snapshot.

  • If the email does not include the desired information, follow the steps above to update the email fields.

Note: The appearance of Snapshots may vary based on the email provider of the recipient. The following Snapshot emails are through Gmail.

Example 1

  • This Snapshot was sent as a Test and includes the Sheet in the email body.
  • The Sheet was sent as a PDF attachment that appears at the bottom of the email.

Example 2

  • This Snapshot was scheduled to be sent monthly and does not include the Sheet in the email body.
  • The Sheet was sent as a PDF attachment that appears at the bottom of the email.

Example 3

  • This Snapshot was scheduled to be sent daily and does not include the Sheet in the email body.
  • The Sheet was sent as a downloadable link that appears as a View Recent Snapshots button in the email.
