Add Appointment Statuses

Add Appointment Statuses

Add an Appointment Status

  1. From the Scheduling Dashboard, select Scheduling Setup.

  1. Select the Statuses tab.
  2. Select Add.

  1. Status ID. Enter a one or two digit ID. This field cannot be changed after the screen is saved.
  2. Enter a Description.
  3. Active: Leave box checked.
  • Appointment statuses can be inactivated by unchecking the box.
  1. Function As: Choose from the dropdown how you want this status to function on your calendar.
  • This feature allows you to add custom Cancel and Reschedule Statuses and identify them as Acceptable or Unacceptable.
  • For example, a practice-initiated reschedule vs a patient-initiated reschedule.
  • This information can be reported using the Custom Appointment Query.
  1. Missing Encounter Report. Appointments with a Function As status of Cancel or Reschedule, are automatically excluded from the Missing Encounter Report. If Active Appointment is chosen, you will choose Include or Exclude.
  2. Cross Out: If the checkbox is selected, appointments with this Status will be crossed out on the calendar.
  3. Hideable: When the checkbox is selected, this Status will be available in the Calendar Filters, allowing users to exclude or include Appointments with this Status on their Calendar view.
  • For No Show and Custom Statuses to display on the Other Tab on the Calendar, they must be marked as hideable.
  1. Late: Include appointments with this Status on the Late Tab of the calendar. For example, Scheduled and Confirmed would be Statuses you'd typically want to track if Late, and an appointment with the Status of Cancelled would not be one you'd track as Late.
  2. Add Reason: Provides the ability to add a note when an appointment is changed to this Status. The Reason box is grayed out for Cancelled because it is a mandatory field when an Appointment is cancelled.
  3. Add a Custom Border Color to visually indicate the Status which can make it very easy to identify appointments with this Status on the Calendar.
  4. Select Save (F2).
